It’s a map: it keeps the conversation moving towards a clear goal while leaving room to listen. Prospects can hear the difference between someone reading and someone talking, and they hang up on the first one.

Here’s a simple structure for a sales call script that sounds natural, with examples you can adapt.

Before you write: three questions

Who are you calling? A new lead from a form, a cold prospect, or an existing customer? Each needs a different opener.

What is the goal of this call? Usually not “close the deal” but a smaller next step: a demo, a meeting, a quote.

What problem do you solve for this person? Write it in one sentence, in their words, not yours.

The five parts of a natural call script

1. The opener: who you are and why you’re calling

You have a few seconds to earn the next minute. Be clear and human:

“Hi Maria, this is Sam from ToCaller. You downloaded our call routing guide yesterday, so I wanted to see if you’re trying to sort out how calls reach your team. Is now a bad time?”

Asking “is now a bad time?” sounds counter-intuitive, but it gives the person control and usually gets an honest answer.

2. Permission and agenda

Say how long you need and what you’ll cover: “Two minutes: I’d like to ask how you handle calls today, and if it makes sense we can set up a short demo.”

3. Discovery questions

This is the heart of the call. Prepare open questions and let the answers guide you:

“How do customers reach your team today?”

“What happens when nobody can pick up?”

“What made you look into this now?”

“Who else is involved in a decision like this?”

Listen more than you talk. Write down the exact words they use; you’ll repeat them later.

4. Position your offer around their answers

Connect one or two things you do to what they told you, using their words: “You mentioned calls go to your personal mobile when you’re on site. With a business number, calls ring the office first and then your mobile, so customers always reach someone.”

5. Ask for the next step

End every call with a specific, small commitment: “Does Thursday at 10 work for a 20-minute demo?” Confirm it by email while you’re still on the line or straight after.

Handling common objections

“Send me some information.” Agree, then narrow it: “Happy to. So I send the right thing, is the main issue missed calls or managing calls across the team?”

“We already have something.” Be curious, not defensive: “What do you like about it? Is there anything you’d change?”

“It’s not a priority right now.” Ask when it might be, and offer to follow up then.

“How much is it?” Answer honestly and briefly, then tie it back to the value they described.

Leaving a voicemail

Keep it under 30 seconds: your name, your company, one reason that matters to them, and your number said twice slowly. Mention that you’ll also send an email, so they can reply the easy way.

Make the script better every week

Listen to your calls. With call recording (and the caller’s consent), review a few calls each week: where do prospects lose interest, which questions open them up?

Compare openers. Try two versions for a week each and keep the one that leads to more conversations.

Track the right numbers. See 8 sales call metrics worth tracking.

A template to copy

Opener: name, company, the reason for this call, “is now a bad time?”

Agenda: how long, what you’ll cover.

Three to five discovery questions.

One or two points of value, in their words.

A specific next step, confirmed by email.

Calling from a recognisable business number helps too: prospects are more likely to answer a number they’ve seen before.
