Each one is a customer who wanted something from you and didn’t get it: a sale, a booking, help with a problem. Some will try again. Many won’t.

How to measure call abandonment

Call abandonment rate is the share of incoming calls that end before being answered:

Abandonment rate = abandoned calls ÷ incoming calls × 100

Two details make the number more useful:

Ignore very short calls. Someone who hangs up after two seconds probably dialled the wrong number. Many teams exclude calls shorter than a few seconds.

Look at it by hour and by number. An average for the whole month hides the real problem, which usually sits in a few busy hours or on one specific line.

Why callers hang up

The wait is too long, or feels long because nothing tells them what’s happening.

The menu is confusing and they can’t find the option they need.

They’re calling outside opening hours and the phone just rings.

They got what they needed, for example the greeting answered their question. This kind of abandonment is fine.

1. Fix the routing first

Most abandoned calls happen where routing has a gap: calls ringing people who are away, teams with no fallback, menus with too many options. Walk through your call flow as a caller would and make sure every path ends with a person, a callback promise or voicemail. The call routing guide explains how.

2. Staff the busy hours

Look at when calls arrive and when they’re abandoned. If most abandonment happens between 9 and 11, that’s where extra hands make the biggest difference. Moving lunch breaks or admin time by an hour can be enough.

3. Give callers a way out of the queue

Callers hang up because waiting feels like their only option. Give them another:

Offer voicemail with a clear callback promise.

Let an AI agent pick up, take the caller’s details and pass them to the team.

Point to self-service for simple questions, such as your help center or order tracking page.

4. Handle after-hours calls on purpose

A call that rings and rings at 8 pm looks exactly like an abandoned call. Use business hours routing so out-of-hours callers hear when you’re open and can leave a message.

5. Call back the callers you missed

Treat missed calls as leads. Check your call history several times a day and call back missed callers from the same business number they called. A quick callback often saves the sale or the customer.

6. Keep the menu short

Every extra option and every extra level adds seconds and confusion. See phone menus customers don’t hate for practical rules.

A simple weekly routine

Check the abandonment rate by hour and by number.

Call back every missed caller.

Look at the worst hour and change one thing: staffing, routing or the menu.

Compare the following week.

Shorter waits reduce abandonment directly; here’s how to reduce wait times.

What call abandonment is, how to measure it fairly, and the routing, queue and callback habits that keep callers on the line.

[14

post-50","tc_blog","type-tc_blog","status-publish","has-post-thumbnail","hentry","category-call-center
["GET
